The Role

You are the CEO’s right hand and trusted partner in execution. This isn’t just scheduling meetings — it’s owning the details that make high-level performance possible. You’ll manage the calendar, plan complex travel, keep our files and systems organized, host and set up meetings, triage customer concerns, and proactively solve problems before they ever reach the CEO’s desk. You’ll operate in a high-pressure, high-stakes environment, moving fast without dropping balls. You’re decisive, resourceful, and confident — and you support the Visionary without trying to run the show.

Responsibilities
  • Own and protect the CEO’s calendar; schedule, reschedule, and anticipate conflicts
  • Plan and coordinate complex travel, events, and retreats (air, hotels, ground, itineraries)
  • Organize and maintain digital systems: Google Drive, Slack, project boards, Zoom links, and docs
  • Prepare agendas, set up and host meetings, take notes, and track action items to completion
  • Handle customer and client concerns with grace, speed, and confidentiality
  • Draft, proofread, and send emails in the CEO’s voice
  • Book appointments, coordinate vendors, and manage business and personal logistics
  • Act as a gatekeeper—filter requests, prioritize, and shield the CEO from distractions
  • Track projects and deadlines across teams; follow up to ensure execution is on pace
  • Anticipate needs—identify issues early and bring solutions, not problems
Requirements

General

  • 3+ years as an Executive Assistant or Chief of Staff in a fast-moving environment
  • Exceptional organizational and time-management skills
  • Tech savvy: Google Workspace; project management (Monday/Asana/ClickUp); Slack; Zoom; CRM
  • Clear written and verbal communication
  • Anticipatory mindset: see around corners and act before issues arise
  • Calm under pressure, resourceful, and relentless about follow-through
  • Professional discretion, confidentiality, and loyalty
  • Nice to have: experience in coaching, consulting, or startup environments
  • Nice to have: comfort with light financial tracking (expenses, invoices)
  • Nice to have: ability to handle light event planning and vendor management
